Terms and Conditions

Quick Summary (for your convenience)

We’ve written our full Terms and Conditions below, but here’s a simple overview of the key points:

Payments: All sessions are paid in advance. Payments are non-refundable, except in the specific cases outlined in Sections 2 (the 6-Week Results Guarantee).

Cancellations: Under UK law, you may cancel within 14 days of booking if sessions haven’t started. Once a block has begun, it is treated as a single package and cannot be refunded.

Attendance: To qualify for a refund under our guarantee, students must attend sessions, engage fully, and complete assessments.

Tutor Changes: If a tutor is unavailable or leaves MT.O, another tutor will be assigned.

Missed Sessions: We’ll always provide worksheets for missed group sessions.

Make-ups or credits are not guaranteed. For 1:1 sessions, cancellations with less than 24 hours’ notice will be charged in full.

Safeguarding: All sessions are recorded for safety, training, and monitoring.

Rolling after first 6 weeks: If you continue after the first 6 weeks, billing runs every 6 weeks (charged on the Monday of Week 5). To cancel, email [email protected] at least 4 weeks before the next payment.

Bulk plans: Discounted fixed-term plans are non-refundable after 14 days and

automatically switch to the rolling plan at the end unless you email us 4 weeks before the term ends.

This summary is provided for clarity. The full Terms and Conditions below remain legally binding and should be read carefully.

1. General Terms

1.1. These Terms and Conditions (“Terms”) govern the services provided by MathsTutors.Online (“MT.O”) to the client, which includes both the parent and student (“Client”).

1.2. By making payment, the Client agrees to these Terms.

1.3. All payments made to MT.O are non-refundable, except as expressly provided in Section 2 (6-Week Results Guarantee), or Section 6 (Refund Policy).

1.4. MT.O will not conduct tutoring sessions during the following weeks in the 2026/27 academic year: the weeks commencing 21 December 2026, 28 December 2026, and 29 March 2027.

1.5. For Year 11 students and students sitting the Summer 2027 exams, tutoring sessions will conclude between the weeks commencing 10 May 2027 and 7 June 2027, depending on each tutor’s timetable.

1.6. For students below Year 11, tutoring sessions will continue throughout the summer holidays to ensure continuity.

1.7. If an assigned tutor is unable to conduct a session due to illness or other unexpected circumstances, MT.O may assign another tutor temporarily or permanently to ensure continuity of service.

1.8. If the Client continues with MT.O beyond the initial six-week programme, tutoring sessions will be provided on a rolling subscription basis as described in Section 7. In such cases, a minimum of four (4) weeks’ written notice must be provided by email to [email protected] before the scheduled payment date (the Monday of Week 5 in the current block). If notice is not provided before this date, the upcoming six-week payment will remain due in full.

1.9. For the safety of both students and tutors, all sessions will be recorded. Recordings will be used for monitoring, safeguarding, and training purposes only, and will not be shared outside MT.O.

1.10. Definitions

a. Attendance means the student being present in each scheduled session with their camera and microphone switched on, actively engaging and responding to tutor questions. Arriving more than five (5) minutes late or failing to meet engagement requirements will be treated as non-attendance, unless otherwise agreed in advance with MT.O.

b. Improvement means the student achieving a higher aggregate mark in the Week 6 assessment(s) than in the Week 1 assessment(s). Where more than one assessment is completed in a given week (e.g. for students attending two sessions per week), the aggregate score of those assessments will be used to measure improvement. Assessments must be completed and submitted during the tutoring sessions in order to be valid.

2. 6-Week Results Guarantee

2.1. The Client agrees that their child will participate in MT.O’s 6-week Targeted Transformation Maths tutoring programme.

2.2. The Client’s first payment will be refunded in full or applied as credit towards future sessions (not transferable to other students), provided that:

a. The student maintains full attendance (as defined in clause 1.10(a));

b. The student does not demonstrate improvement (as defined in clause 1.10(b));

c. The Client requests the guarantee within 7 days of receiving the feedback email from the first 6 weeks.

2.3. The guarantee will not apply if any of the above conditions are not met.

2.4. Refunds under this guarantee will normally be processed within one (1) week of MT.O receiving the request. If the Client agrees to continue with MT.O’s programmes whilst requesting the guarantee, credit will be applied to future sessions instead of a refund.

2.5. This guarantee does not apply to any Client who has participated in MT.O’s Free 6-Week Programme.

3. Group Tutoring Sessions

3.1. If a student misses a session, MT.O will provide worksheets and may, subject to availability, offer an alternative class covering the same topic.

3.2. MT.O is not obligated to provide make-up sessions for missed classes or late arrivals. No refunds or credits will be issued.

4. 1:1 Tutoring Sessions

4.1. Sessions are non-transferable to other students.

4.2. The Client is responsible for ensuring the student is ready and on time. The tutor may send a reminder if the student is late, but this is not guaranteed.

4.3. If the student is more than ten (10) minutes late, the tutor will end the session and it will be charged in full. If the student is less than ten (10) minutes late, the session will finish at the scheduled time and be charged in full.

4.4. If the student will join late, the Client must notify the tutor in advance. Resuming the session is at the tutor’s discretion.

4.5. Sessions cancelled with less than twenty-four (24) hours’ notice, or unattended without notice, will be charged in full.

4.6. Where more than twenty-four (24) hours’ notice is given, a session credit will be issued. This credit may be used to reschedule within the same week or to book an additional session in a future week. This does not alter the Client’s billing obligations.

5. Contact and Updates

5.1. The Client is responsible for ensuring all contact information provided to MT.O is accurate and kept up to date.

5.2. All enquiries or requests relating to billing, payments, refunds, cancellation, changes to payment arrangements or other account matters should be sent to [email protected]

5.2. MT.O reserves the right to amend these Terms at any time. Updates will be communicated to the Client and will take effect from the date of notification.

6. Consumer Cancellation Rights and Refund Policy

6.1. Under the Consumer Contracts Regulations 2013, Clients booking online have a statutory right to cancel their contract within fourteen (14) days of the date of booking, without giving any reason, provided that tutoring sessions have not commenced.

6.2. By booking tutoring sessions to begin within the statutory 14-day cooling-off period, the Client expressly requests that services begin during this period and acknowledges that the right to cancel will be lost once the services are fully provided.

6.3. Where tutoring sessions are provided in fixed blocks (e.g. a six-week programme), each block constitutes a single, indivisible package of services. Once a block has commenced, it is deemed fully allocated and non-resellable. Accordingly, no refunds or partial refunds will be given for unused sessions within a block once the first session has taken place, regardless of whether the statutory cooling-off period has expired.

6.4. After the expiry of the 14-day cooling-off period set out in clauses 6.1–6.2, all payments for tutoring sessions are strictly non-refundable, except where expressly provided in Section 2 (6-Week Results Guarantee).

6.6. If MT.O cancels a scheduled session, MT.O will ensure that the session is either

rescheduled or delivered by an alternative tutor. Refunds will only be considered at MT.O’s sole discretion.

7. Rolling Subscriptions and Bulk Payments

7.1. After the completion of the Client’s initial programme, MT.O may offer tutoring on either:

a. a six-weekly rolling subscription (clauses 7.2–7.4 apply);

b. a fixed-term commitment paid monthly (clauses 7.5–7.7 apply); or

c. a bulk payment plan (clause 7.8 applies).

Rolling Subscriptions

7.2. Rolling subscriptions are billed automatically every six (6) weeks in advance, on the Monday of Week 5, to cover the upcoming block of sessions.

7.3. The statutory 14-day cooling-off period described in Section 6 applies only to the Client’s initial booking with MT.O. It does not renew with each recurring subscription payment.

7.4. The Client may cancel a rolling subscription by giving at least four (4) weeks’ written notice by email to [email protected] prior to the next scheduled payment date. If notice is not provided, the upcoming six-week payment will remain due in full. Upon cancellation, the Client will retain access to sessions until the end of the paid period.

Fixed-Term Commitments (Monthly Payments)

7.5. Clients who choose a fixed-term commitment agree to remain enrolled for the full duration of the agreed term (for example, three, six, or twelve months), with payments taken on a monthly basis.

7.6. Fixed-term commitments are offered on the basis of a reduced or preferential rate in return for the Client’s commitment to the full term. If the Client cancels before the end of the fixed term, a cancellation fee will apply.

7.7. The applicable cancellation fee will be clearly outlined in the pricing document provided to the Client at the time they selected their payment plan and forms part of this agreement. By proceeding with the fixed-term option, the Client confirms acceptance of that cancellation fee. Upon early cancellation, access to tutoring will continue until the end of the paid period unless otherwise stated in the pricing document. The transition to ongoing tutoring following the end of a fixed-term commitment is governed by clause 7.9.

Bulk Payments

7.8. Clients who choose to make a bulk payment for multiple blocks (e.g. six months or twelve months) acknowledge that such payments are provided at a discounted rate in return for a fixed-term commitment. Except for the statutory 14-day cooling-off period in Section 7, bulk payments are non-refundable once made, regardless of whether the Client chooses to discontinue attendance before the end of the prepaid term.

7.9. At the conclusion of a fixed-term commitment or a bulk payment term, the Client will automatically be enrolled onto a six-weekly rolling subscription as described in clauses 7.2–7.4, unless the Client notifies MT.O by email to [email protected] of cancellation at least four (4) weeks before the end of the prepaid period.
